With Studio Manager, you can create and send invoices for your photography clients. Customize each invoice with line items, taxes, discounts, due dates, payment schedules, automatic reminders, tips, and a personalized email message.

Creating an invoice
To create a new invoice:
- Go to Payments > Invoices.
- Click New Invoice.
- Select the client contact the invoice is for, or create a new contact.
- Use the invoice builder to add items, payment details, due dates, and other options.
Adding invoice items
Invoice items are the products, services, or fees you are charging your client for. Each item can include a name, description, quantity, and price.
To add an item to an invoice:
- In the invoice builder, go to the Items area.
- Click + Add item to add the product, service, or fee you want to charge for.
- Enter the item’s name, description, quantity, and price.
Tip: To reorder an invoice item, hover over it and click the arrow icon.
Applying taxes
You can apply a tax rate to an invoice when you need to collect sales tax, GST, VAT, or another applicable tax. Tax is calculated after any invoice discount is applied.
Note: Pixieset does not provide tax advice. If you are unsure whether you need to collect tax on your products or services, consult a local tax advisor.
To add tax to an invoice:
- Under the invoice subtotal, click Add tax.
- Enter the tax name and rate.
- Add a Tax ID, if applicable.
- Click Apply.
Tip: If a specific invoice item should not be taxed, hover over that item and click ••• > % Mark non-taxable.
Applying discounts
You can apply either a fixed-amount or percentage discount to an invoice. The discount is distributed equally across all invoice items.
To add a discount:
- Under the invoice subtotal, click Add discount.
- Select a fixed amount or percentage.
- Enter the discount amount.
- Click Apply.
Setting due dates and payment schedules
Use the Due Date section to set when your client needs to pay the invoice. You can choose a specific calendar date or a relative deadline, such as payment due within 14 days.
To set an invoice due date:
- In the invoice builder, go to the Due Date section.
- Click Payment Due.
- Select a calendar date or choose one of the available timeline options.
Tip: If you do not see the option to select a calendar date, you may be editing an invoice template instead of an invoice.
Creating a payment schedule
A payment schedule divides the invoice total into multiple installments. This can be useful when collecting a deposit or retainer, or allowing a client to pay a larger invoice over time. Turn on Payment Schedule, then configure the amount and due date for each installment.
Note: Clients can pay the first installment, multiple installments including the first, or the full outstanding invoice balance.
Advanced invoice options
You can configure the following options for an invoice:
- Accepted payment methods: Choose which of your available payment methods the client can use to pay this invoice. All available methods are enabled by default.
- Currency: Choose the currency used for all amounts and payments on the invoice.
- Payment reminders: Automatically email your client before, on, or after the due date for an invoice payment or installment. For example, you can send reminders seven days before, on the due date, or seven days after. These emails are sent automatically and cannot be customized.
- Allow tips: Let your client add a tip when paying the invoice.
Note: Payment reminders and tips are available with upgraded Studio Manager and Suite plans.
Sending the invoice
When the invoice is ready, you can send it to your client by email or copy a direct link to share through another communication method.
To send the invoice by email:
- Click Send Invoice in the top-right corner of the invoice builder.
- Review the email composer.
- Customize the message for your client.
- Send the email immediately or schedule it to send later.
To share the invoice outside of email, click Send via link at the bottom of the email composer and copy the direct invoice link.
